ACCUO holds an Annual General Meeting (AGM) each year. At the AGM, the Executive Committee presents its annual and financial reports, membership fees are approved, committee updates are shared, awards may be presented, and new Executive Committee members are ratified. The meeting also provides an opportunity for members to engage in open dialogue on priorities and emerging issues.

Background

The ACCUO Constitution provides that:

  • The President will chair the AGM.

  • The Secretary serves as the primary contact for matters related to the AGM.

  • Any changes to the annual membership fees are established at the AGM.

ACCUO is committed to accessibility. Members requiring accommodations are encouraged to contact the Secretary in advance of the meeting.

Meeting Notices

  • Members are informed in advance of the meeting date, time, and location.

  • Notice is typically provided 30 days in advance, with the agenda and supporting documents circulated at least 7 - 10 days prior to the meeting.

  • Proposed constitutional amendments are circulated to all members at least 30 days prior to the AGM.

  • Meetings are generally held in the spring and last approximately two hours.

  • Meetings may be held virtually or in person.

  • Meeting notices are distributed by email (unless requested in another format).

Voting and Quorum

  • All members (individual, institutional, and associate) may attend.

  • Associate members may not vote.

  • Institutional memberships are entitled to one vote.

  • Quorum is one-third of all eligible voting members.

  • Motions require a simple majority to pass.

  • Constitutional amendments require approval by two-thirds of all eligible voting members.

The Spring 2026 Annual General Meeting will be held on: 

Wednesday, May 27, 2026, at 2 pm (EST). 

Agenda and documentation will be circulated with virtual meeting link, closer to the event date.

Elections

Positions on the ACCUO Executive Committee are filled by election. In the event of a vacancy, an election will be conducted in accordance with the ACCUO Constitution and the Election Guidelines.
 

These guidelines set out the election process, support the Election Officer in carrying out their responsibilities, promote transparency, and encourage broad member participation.
